Summary of Position:
PRIMARY ACCOUNTABILITY: The Health Access Outreach Coordinator (HAOC) is responsible for facilitating and coordinating outreach activities aimed at improving health access and equity for underserved populations within Western North Carolina (WNC). This role involves working with local healthcare providers, community organizations, government agencies, and other stakeholders to leverage resources and expand the outreach efforts of the Western Carolina Medical Society (WCMS). The HAOC will attend events such as public health fairs and large-scale community gatherings and assist individuals in navigating the healthcare system to access medical services, particularly services offered by WCMS, and financial assistance programs.
SPECIFIC RESPONSIBILITIES: This job description is a general description of the essential job functions. It is not intended to describe all the duties a Health Access Outreach Coordinator may perform. The HAOC works closely with the Director of Development & Communications (DD) to oversee outreach-related programs and activities. The HAOC must work, interact, and effectively communicate with a diverse community and staff.
Duties:
1. Develop and Implement Outreach Strategies
- Raise awareness about WCMS programs with organizations in both health (e.g., rural hospitals, clinics, and medical practices) and non-health (e.g., school systems) sectors by performing outreach activities such as attending community events and visiting provider offices and community organizations in WNC.
- Deliver educational and advocacy materials to providers, patients, and WCMS members to raise awareness of the importance and benefit of health access programs such as Project Access and the WIN programs.
- Track provider’s locations (i.e. medical, CBO, clinic, etc.) location names, number of people spoken to, and event names that were participated in.
- Conduct outreach to local service businesses including medical and complementary providers of all types, law offices, dental offices, etc. to add new partnerships throughout the project. Ensure proper documentation of the visits for any potential follow-up by the WCMS Executive or DD.
- Represent the organization at health fairs, career fairs, large-scale community events, and other educational events as identified.
- Engage with community members to promote health access and equity initiatives.
2. Collaboration and Community Engagement
- Develop and maintain strong partnerships with local healthcare providers, community organizations, government agencies, and local businesses.
- Guide individuals to access medical services, health insurance enrollment, and financial assistance programs.
- Assist community members in understanding and navigating the healthcare system.
3. Assist in the Coordination of a marketing plan, to include:
- Plan and implement digital marketing materials and strategies including social media and website with the Manager of Memberships and Marketing.
- Design or work with a graphic designer on marketing materials for outreach events (educational rack cards and flyers).
4. Carry out additional projects as identified by the Strategic Plan and Director of Development & Communications.
5. Other related duties as assigned.
SUPERVISORY RESPONSIBILITIES: None.
EDUCATION and/or Experience:
Minimum requirements:
- Strongly prefer a Bachelor’s degree in a related field or two to five years of experience.
CERTIFICATES, LICENSES, REGISTRATIONS: None required.
COMPUTER SKILLS: Proficient in MS Office (MS Word, PowerPoint, Outlook, and Excel). Proficient in data entry. Experience with online marketing programs (e.g. Constant Contact) and in-person marketing is desired. Experience with graphic design software is desired (Adobe Creative Suite and/or Canva).
COMMUNICATION SKILLS: Excellent oral and written communication. Must be able to communicate accurately, thoroughly, and responsively to a wide variety of constituents, both externally and internally to the organization. Strong problem-solving and customer service skills. Must be a team player and communicate closely with supervisor and coworkers to keep them apprised of the status of various projects.
ORGANIZATIONAL AND COORDINATION SKILLS: Ability to organize workload and coordinate multiple activities and projects. The position requires the ability to appropriately and professionally handle multiple and competing priorities and make independent decisions. Strong attention to detail and ability to work with diverse communities. Excellent organizational and project management skills. Attendance at a monthly in-office meeting of the entire staff and residence in the WCMS service area is required.
FOREIGN LANGUAGE SKILLS: Spanish is strongly preferred.
PHYSICAL DEMANDS: Office Environment
1. Sitting in a normal seated position for extended periods of time (standing for extended periods of time if using a standing desk).
2. Reaching by extending hand(s) or arm(s) in any direction.
3. Finger dexterity is required to manipulate objects with fingers rather than with whole hand(s) or arm(s), for example, using a keyboard.

6. Driving for extended periods of time or access to alternative, reliable vehicular transportation.
7. Ability to lift up to 25 pounds.
WORK ENVIRONMENT: WCMS currently operates in a hybrid workplace. Ethics of virtual/remote work must be abided by at all times. Involves frequent use of personal vehicle. Requires occasional early morning, evening, and weekend work. Occasional outdoor events.
ADDITIONAL INFORMATION: Self-directed, respectful, empathetic, highly motivated, reliable, process-driven, organized, and impact-focused. This is a time-limited grant-funded position with the possibility of renewal after one year pending further grant funding.
